Refund and Cancellation Policy
Effective Date: September 30, 2026
Thank you for choosing Seasonal Vitality, LLC. We are committed to providing clear, fair, and transparent policies for our physical products and wellness retreats.
Please review this policy before completing a purchase or retreat reservation.
1. Physical Products
-
Returns
-
We accept eligible returns of physical products, including our seasonal wellness planners, within 14 calendar days of confirmed delivery.
-
To qualify for a return, an item must be unused, in its original condition, and accompanied by proof of purchase.
-
To initiate a return, contact hello@seasonalvitality.com within the 14-day return window.
-
Please wait for return instructions before shipping an item.
-
-
Return Shipping
-
Unless an item is defective, incorrect, or otherwise subject to a legally required remedy, customers are responsible for return shipping costs.
-
Original shipping charges are generally non-refundable unless required by law.
-
-
Damaged, Defective, or Incorrect Products
-
If your order arrives damaged, defective, or incorrect, please contact us promptly at hello@seasonalvitality.com with your order number, a description of the issue, and photographs when available.
-
We will review the issue and provide an appropriate remedy, which may include a replacement or refund.
-
-
Product Refund Processing
-
Approved refunds will be issued to the original payment method, where possible, after the returned item has been received and inspected or the issue has otherwise been resolved.
-
Refund processing times may vary depending on the payment provider and financial institution.
-
2. Wellness Retreat Deposits and Payments
-
Wellness retreats require advance financial commitments for accommodations, meals, venue reservations, transportation, facilitators, and other arrangements.
-
For this reason, retreat bookings are subject to specific payment and cancellation conditions.
-
The applicable retreat booking page will disclose the total package price, required deposit, payment schedule, and any retreat-specific conditions before payment.
-
All payments are applied toward the total retreat package price.
3. Minimum Enrollment and Retreat Confirmation
-
Certain retreats require a minimum number of participants to proceed.
-
For the 2027 Seasonal Vitality Mexico retreat, the enrollment confirmation deadline is November 30, 2026.
-
Seasonal Vitality will determine whether the retreat has sufficient enrollment and communicate the decision to registered participants by this date.
-
If Seasonal Vitality cancels the retreat because minimum enrollment has not been reached, participants will receive a full refund of 100% of all retreat payments made to Seasonal Vitality.
-
This includes deposits and any additional retreat installment payments.
-
Refunds will be initiated within 14 calendar days after the cancellation announcement, using the original payment method where possible.
-
Participants will not be responsible for Seasonal Vitality's unrecovered venue or other business expenses when the retreat is canceled for insufficient enrollment.
-
Seasonal Vitality is not responsible for independently purchased flights, personal transportation, travel insurance, or other third-party travel expenses, except where required by law.
-
Participants are strongly encouraged to consider refundable travel arrangements or suitable travel insurance before the retreat has been confirmed.
4. Participant-Initiated Cancellations
-
Once Seasonal Vitality confirms that a retreat will proceed, deposits and other retreat payments become non-refundable, except as otherwise expressly stated in this policy or required by applicable law.
-
This policy reflects the substantial advance commitments made to secure accommodations, services, and activities for confirmed participants.
-
Participant cancellations due to illness, scheduling conflicts, personal emergencies, changes in travel plans, or inability to attend generally do not qualify for refunds after confirmation.
-
If a participant cancels before the enrollment confirmation deadline, the deposit and any additional payments will remain subject to the retreat's disclosed booking terms. If the retreat is subsequently canceled for insufficient enrollment, the participant's eligibility for a refund will be determined under those terms and applicable law.
-
Participants are encouraged to obtain appropriate travel insurance to protect against unexpected cancellation expenses.
5. Booking Transfers
-
If a participant cannot attend, they may request to transfer their booking to another eligible adult at no additional administrative charge.
-
Transfer requests must be submitted by email at least 14 calendar days before the retreat begins.
-
The replacement participant must meet all disclosed participation requirements, complete required registration documentation, and agree to the applicable retreat policies.
-
Transfers are subject to any reasonable restrictions imposed by accommodation providers, transportation operators, or other essential service providers.
-
Seasonal Vitality will make reasonable efforts to accommodate eligible transfer requests.
-
Participants remain responsible for arranging any private reimbursement or exchange of funds between themselves and the replacement attendee.
6. Host Cancellation Due to Extraordinary Circumstances
-
Occasionally, circumstances outside Seasonal Vitality's reasonable control may prevent a retreat from proceeding safely or as reasonably intended.
-
Examples may include severe weather, natural disasters, government travel restrictions, major transportation disruptions, mandatory evacuations, or unexpected venue closures not reasonably preventable by Seasonal Vitality.
-
If such circumstances require cancellation, Seasonal Vitality will make reasonable efforts to recover payments from venues and other third-party providers.
-
Subject to applicable law, participants will receive refunds of recoverable retreat funds after deduction of documented, non-refundable third-party costs directly attributable to their bookings.
-
Seasonal Vitality will not retain an additional cancellation penalty or administrative fee from the recoverable amount.
-
Participants will receive a written explanation of the cancellation, including a reasonable accounting of unrecovered third-party expenses and the amount available for refund.
-
Refunds will be processed within a reasonable period after the recoverable amounts have been determined and received, with updates provided if vendor recovery is delayed.
-
If applicable law requires a greater refund or other remedy, those requirements will control.
-
This provision does not apply to cancellations due to insufficient enrollment, which are governed by Section 3.
7. Significant Retreat Changes
-
Seasonal Vitality may make reasonable adjustments to the retreat itinerary, instructors, activities, meals, or transportation arrangements when necessary.
-
When possible, comparable alternatives will be provided.
-
If a significant advertised component cannot be delivered and no reasonable alternative is available, Seasonal Vitality will review appropriate remedies, including partial refunds where required by law or justified by the circumstances.
-
Minor schedule changes or voluntary decisions not to participate in included activities generally do not qualify for refunds.
8. Early Departures and Missed Activities
-
Participants who arrive late, depart early, or voluntarily miss included activities generally will not receive refunds for unused portions of the retreat.
-
Exceptions may be considered where required by law or where Seasonal Vitality is unable to provide a material part of the purchased experience.
9. Travel Insurance
-
Comprehensive travel insurance is strongly recommended for all retreat participants.
-
Participants should consider policies that provide appropriate coverage for:
-
Trip cancellation and interruption
-
Illness or injury before or during travel
-
Emergency medical treatment abroad
-
Emergency evacuation and transportation
-
Flight cancellations or delays
-
Weather-related travel disruptions
-
-
Participants should verify policy exclusions, covered cancellation reasons, purchase deadlines, and applicable benefit limits directly with their insurance provider.
-
Travel insurance is purchased independently and is not included unless specifically stated in the retreat package.
10. Refund Method and Processing
-
Approved refunds will ordinarily be issued through the original payment method.
-
If that method is unavailable, Seasonal Vitality will coordinate an appropriate alternative with the participant.
-
Processing times may depend on the payment provider, bank, currency conversion, and the nature of the refund.
-
Any applicable payment-processing or currency-conversion deductions will be disclosed and handled in accordance with applicable law and payment-provider rules.
11. Policy Exceptions and Consumer Rights
-
Seasonal Vitality may consider exceptional circumstances individually but is not obligated to provide discretionary refunds beyond the stated policy unless required by law.
-
Nothing in this policy limits statutory consumer protections, payment dispute rights, or remedies that cannot lawfully be waived.
