Welcome to Seasonal Vitality ("we," "us," or "our"). By visiting our website and purchasing our products (including our Chinese medicine planner) or booking our retreat packages, you agree to comply with and be bound by the following terms and conditions.
1. Separate Entity Notice
Seasonal Vitality is an independent retail and wellness retreat provider. It is entirely separate from our local clinical practice. Transactions, agreements, and data submitted on this website do not constitute a clinical patient-provider relationship and are completely distinct from any clinical appointment management.
2. Product Sales
All physical products are subject to availability. We reserve the right to limit the order quantity of any product or refuse service to any customer.
Prices for our products are subject to change without notice.
You agree to provide current, complete, and accurate purchase and account information for all purchases made at our store.
3. Service Bookings
By booking a retreat package, you certify that you are at least 18 years of age and physically capable of participating in the planned wellness activities.
Retreat packages include accommodations, acupuncture sessions, and specified amenities as detailed on the booking page. Personal travel, flights, and ground transportation to the retreat venue are the sole responsibility of the attendee.
You agree to complete all required health intake and liability waivers sent to you following your booking prior to the start of the retreat. Failure to do so may result in the forfeiture of your booking without a refund.
4. Governing Law and Jurisdiction
These Terms and Conditions and any separate agreements whereby we provide you products or services shall be governed by and construed in accordance with the laws of the State of Colorado. Any legal actions, disputes, or claims arising out of your use of this site or purchases made herein must be filed exclusively in the state or federal courts located in Larimer County, Colorado.
5. Changes to Terms
We reserve the right to update, change, or replace any part of these Terms and Conditions by posting updates to our website. It is your responsibility to check this page periodically for changes.

Refund and Cancellation Policy

Thank you for shopping and booking with Seasonal Vitality. Please review our regional refund and cancellation rules carefully before finalizing your purchase.
1. Physical Products
* **Returns:** We accept returns on physical items (such as our Chinese medicine planner) within 30 days of the delivery date. To be eligible for a return, your item must be unused, in the same condition that you received it, and in its original packaging.
* **Return Shipping:** Customers are responsible for paying their own shipping costs for returning items. Shipping costs are non-refundable.
* **Damaged Items:** If your planner arrives damaged due to postal handling, please email us immediately at hello@seasonalvitality.com with photos of the damage, and we will determine if a replacement can be issued at no extra charge.
2. Service Bookings
Because our wellness retreats require substantial, non-refundable upfront commitments for venues, catering, and materials, we adhere to a strict tiered cancellation policy:
* **Non-Refundable Deposit:** A 10% deposit included in your total registration fee is strictly non-refundable upon booking, except at the discretion of Seasonal Vitality, or in the event that the retreat is not able to move forward as described on the booking page under the "What determines if the retreat moves forward?" headed section.
* **60+ Days Prior to Retreat:** Cancellations made 60 days or more before the retreat start date will receive a full refund of the amount paid, minus the non-refundable deposit.
* **30 to 59 Days Prior to Retreat:** Cancellations made between 30 and 59 days prior to the retreat start date will receive a 50% refund of the total package price.
* **Less Than 30 Days Prior to Retreat:** All cancellations made under 30 days from the retreat start date are 100% non-refundable. No exceptions will be made for personal emergencies, illness, or travel delays.
3. Booking Transfers and Credits
If you are unable to attend the retreat, you may transfer your booking to a friend or family member at no extra charge, provided you notify us via email at least 14 days before the event begins. Alternatively, we may, at our sole discretion, issue you a store credit toward a future retreat.
4. Force Majeure & Host Cancellation
In the highly unlikely event that we must cancel a retreat due to extreme weather, venue closure, insufficient registration, or an Act of God, you will receive a 100% refund of your retreat package fee. Seasonal Vitality is not responsible, however, for any personal travel investments, airline tickets, or cancellation fees incurred by the customer. We strongly recommend purchasing independent travel insurance.
